Privacy Policy

This Privacy Policy describes how Brand-It-Media LLC (“Brand-It-Media,” “we,” “us,” or “our”) handles information when you use SmartSignPro. It is designed to reflect how our product works today, including accounts, signage content, Stripe billing, optional Square catalog sync, optional audience-related features, and device experiences.

Who we are

SmartSignPro is operated by Brand-It-Media LLC (“Brand-It-Media,” “we,” “us,” or “our”). SmartSignPro is a cloud-based digital signage platform that lets teams manage locations, screens, and publications (such as images and text), display them through web-based viewers, and optionally connect add-ons such as catalog integrations or audience analytics features.

Information we collect

Depending on how you use SmartSignPro, we may collect or process the following categories of information:

  • Account and profile data: such as your name, email address, password (stored using one-way hashing), organization name, role, language preference, and notification settings.
  • Workspace and signage data: content you upload or create for publications (for example images and copy), scheduling and display settings, location and screen names, assignments between publications and screens, and related configuration.
  • Devices and kiosk setup: information needed to pair or manage display devices (for example device identifiers, names, and activation status) when you use kiosk or device features.
  • Billing data: subscription plan, usage of checkout and billing portals, and identifiers we receive from our payment processor. Full payment card numbers are collected and stored by Stripe, not by us. We may store Stripe customer and subscription identifiers and limited billing metadata needed to operate your account.
  • Integrations you enable: if you connect optional integrations (for example Square), we process credentials and catalog-related data needed to provide that integration, in accordance with this policy and the integration provider’s terms.
  • Optional audience-related features: if your organization enables optional AI-driven audience features, we may process derived or aggregated signals used to adapt on-screen messaging. We design these features to avoid collecting or storing traditional biometric identifiers; specifics depend on your configuration and product version.
  • Communications and inquiries: messages you send us (for example through our contact or inquiry forms), including your contact details and the content of your message.
  • Technical and usage data: server and application logs, IP address, browser type, diagnostic events, security signals, and similar data used to operate, secure, and improve the service.
  • Cookies and similar technologies: data from cookies, local storage, or similar technologies where we or our vendors use them for authentication, preferences, security, or analytics.

How we use information

We use the information above to:

  • Provide, host, and operate SmartSignPro (including authentication, syncing content to viewers, and customer support).
  • Process subscriptions, trials, invoices, and changes you make in the Stripe billing experience.
  • Deliver optional features you turn on (such as Square catalog sync or optional audience-related messaging).
  • Maintain the security and integrity of our systems, detect abuse, and troubleshoot issues.
  • Communicate with you about the service, including transactional emails (such as billing notices) and, where permitted, product updates.
  • Comply with legal obligations and enforce our terms.
  • Improve and develop new functionality (including using aggregated or de-identified data where appropriate).

Legal bases (EEA, UK, and similar jurisdictions)

Where required by law, we rely on appropriate legal bases such as: performance of a contract (providing SmartSignPro to you); legitimate interests (for example securing our services, understanding aggregate usage, and communicating service-related information); and consent where we ask for it (for example certain cookies or optional features). You may have rights to object, access, correct, delete, or port your personal data, or to lodge a complaint with a supervisory authority, subject to local law.

How we share information

We share information only as needed to run SmartSignPro, including with:

  • Stripe for payment processing, trials, invoices, and the customer billing portal.
  • Square and other integration partners when you choose to connect those services, subject to their policies.
  • Infrastructure, email, and security vendors that host or process data on our behalf under contractual safeguards.
  • Professional advisers (such as lawyers or accountants) where required.
  • Authorities or third parties when we believe disclosure is required by law, legal process, or to protect rights, safety, and security.
  • Business transfers: a successor entity in connection with a merger, acquisition, or sale of assets, subject to appropriate protections.

We do not sell your personal information as “sale” is commonly understood in U.S. state privacy laws.

Retention

We retain information for as long as your account is active, as needed to provide the service, and as required to comply with legal, tax, and accounting obligations. Retention periods may vary based on the type of record and jurisdiction. When data is no longer needed, we delete or de-identify it in line with our internal practices, subject to backup and archival systems.

Security

We implement technical and organizational measures designed to protect information against unauthorized access, loss, or alteration. No method of transmission over the Internet is completely secure; we encourage you to use strong passwords, protect credentials for integrations (such as Square), and limit access within your organization.

International transfers

We may process and store information in the United States and other countries where we or our vendors operate. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.

Your choices and rights

Depending on where you live, you may have rights to access, correct, delete, or restrict processing of your personal data, to data portability, or to opt out of certain processing. You can update some account information directly in SmartSignPro. To exercise other rights, contact us using the details below. If you are in the EEA or UK, you may also lodge a complaint with your local data protection authority.

Residents of certain U.S. states may have additional rights under applicable state privacy laws (for example California). We will respond to verifiable requests as required by law.

Children

SmartSignPro is intended for businesses and adult users. We do not knowingly collect personal information from children under 13 (or the age required by local law). If you believe we have collected information from a child, please contact us and we will take appropriate steps.

Third-party sites and services

Our websites or application may link to third-party sites or services (including Stripe checkout and partner documentation). This policy does not apply to those third parties; please review their privacy policies.

Changes to this policy

We may update this Privacy Policy from time to time. We will post the revised version on this page and update the effective date. Where changes are material, we will provide additional notice as appropriate (for example by email or in-product message).
